The successful candidate will have past experience in an administrative capacity, supporting at a Vice President level or above.

Responsibilities

ºActs as the first-point-of-contact, and assesses and addresses the importance and urgency of situations, or alerts the Executive as appropriate.ºManages Executives' calendars, coordinates meetings, conference calls, travel arrangements, and special events. ºPrepares the Executive for meetings including compiling information and debriefing the Executive on pertinent information prior to the meeting. ºProactively prepares time-sensitive, confidential materials e.g. meeting agendas, reports, spreadsheets, documents and correspondence, using PowerPoint, Word & Excel.ºDrafts correspondence with limited verbal or written instruction.ºSets up and manages filing of legal and non-legal documents.ºMonitors operational budget, manages expense accounts and ensures invoices are tracked accurately and paid on a timely basis. ºLiaises with executives' direct reports, cross-functional areas and external partners to conduct business in an efficient and effective mannerºParticipates in special projects and handle other administrative office duties.

Qualifications

ºPost-secondary education in Business or a related discipline.ºMinimum of 3-5 years administrative experience supporting a Senior Executive in a fast-paced environment with multiple demands and an ever changing schedule. ºBilingual (French/English) verbal and written communication skills is an asset.ºAdvanced Level PC skills (MS Office: Excel, Word, Powerpoint) is required for the role.ºExperience analyzing metrics and preparing reports, with some project and event management required.ºWell organized, able to manage time and multi-task to accomplish a multitude of tasks, with conflicting priorities and timelines. ºEffective interpersonal and customer service skills with the ability to interact with individuals at all levels. ºDemonstrated ability in core and role specific competencies including teamwork, adaptability, organizational, resourceful, customer service, innovation and problem solving.
