THE ROLE: Director - Finance and Administration

Our client, a thriving business in the field of professional services and headquartered in Old Montreal, is looking for a Director - Finance and administration in order to join his dynamic team.

The Director - Finance and administration will be called upon to assume all the responsibilities of the accounting, administrative and other projects function. More specifically, his responsibilities will include:

Administrative management:

  • Participate in annual strategic planning
  • Manage employee and intern files (reception, contracts , holidays, absences, group insurance,)
  • Manage insurance, leases and ensure the proper functioning of offices
  • Manage computer and telephone systems
  • Negotiate and coordinate the work of technical suppliers, such as IT consultant and other

Human resources management:

  • Ensure effective management of human resources
  • Manage mobile holidays, public holidays, annual vacations for the whole team
  • Be the contact person in the group insurance file
  • Keep the Guide up to date employee, job profiles, employee files and other internal documents
  • Participate in the hiring process for new employees and interns es
  • Ensure the welcome of new employees

Financial accounting management:

  • Prepare and present monthly financial statements and annual reports from the company to the management team
  • Prepare and present the weekly and monthly financial dashboards
  • Perform the complete accounting cycle for the company, its company management and its trust
  • Liaise with governments, banks, the accounting firm and other professionals
  • Prepare monthly invoicing, monitor and manage payable and receivable
  • Ensure the management and monitoring of the customer invoicing cycle, work in progress (TEC) and other customer projects
  • Support project teams in their budget monitoring
  • Approve the expense accounts and budgets of the advisers
  • Collaborate in the preparation and monitoring of quotes and purchase orders, when required is
  • Perform tax reports (federal and provincial)
  • Manage employee pay and liaise with provincial government authorities (Quebec and Ontario)
  • Supervise the work of the bookkeeper and participate in the proper development of her learning to allow great efficiency and optimal engagement
  • Be the resource person to support the accounting and project monitoring systems

Qualifications

  • Hold a bachelor's degree in accounting
  • Hold an accounting designation (an important asset)
  • Have a minimum experience of 5 years in a similar administrative position
  • Experience in a professional services business
  • Bilingualism

Skills

  • Mastery of the complete accounting cycle
  • Experience in a project accounting environment
  • National and foreign experience (an asset)
  • Experience in a multi-currency environment (an asset)
  • Excellent command of Microsoft Excel (layout, programming of formulas, pivot tables,)

  • Desire to pursue a career in administrative management
  • Have an excellent sense of initiative and organization
  • Be very rigorous and have the Attention to detail;ensure rigorous follow-ups
  • Demonstrate a good sense of autonomy and positive leadership
  • Excellent management of priorities and deadlines while demonstrating a capacity for flexibility
  • Ability to develop and maintain excellent interpersonal relationships both within the organization and with external partners
  • Demonstrate dynamism, intellectual curiosity and a desire to improve processes in order to to support the company in its growth
