The Executive Assistant will be an integral member of the Executive Office, driving efficiency and effectiveness by providing a wide variety of support to the CEO and team. The Executive Assistant will also participate in the development and implementation of secretarial and administrative standards, policies and practices across the organization.The incumbent must have a strong customer-centric, efficient and winning mindset and enjoy working within an entrepreneurial environment that is mission and results driven. The incumbent must have experience managing an extensive range of executive and administrative tasks of a sensitive and confidential nature and be capable of working independently. When you wake up in the morning you'll be excited to start the day because you and team are empowered to make a difference: ºCompletes a broad variety of administrative tasks for the President & CEO including managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for meetings. ºPlans, coordinates and ensures the CEO's schedule is followed and respected. Works closely with the CEO to keep her well informed of upcoming commitments and responsibilities, following up as appropriate. ºResearches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response. ºProvides a bridge for smooth communication between the CEO's office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff. ºProvides leadership to build relationships crucial to the success of the organization and manages a variety of special projects for the Executive Office, some of which may have organizational impact. ºSuccessfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CEO's ability to effectively lead the organization. ºPrioritizes conflicting needs; handles matter expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
Your background and experience are both broad and deep:ºBachelor's degree required (in related field).ºBetween 8-10 years of experience supporting C-Level Executives.ºFinancial Services industry experience is an asset.ºBilingual: Expert level written and verbal communication skills (English and French). ºProficient in Microsoft Office (Outlook, Word, Excel and Power Point). ºStrong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail. ºVery strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members and external partners. ºDemonstrated proactive approaches to problem-solving with strong decision-making capability. ºEmotional maturity, highly resourceful team-player, with the ability to also be extremely effective independently. ºProven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response. ºDemonstrated ability to achieve high performance goals and meet deadlines in a fast- paced environment. ºFlexible schedule.
